How to Check Your Custom Patch Proof Before Approving Production
A patch proof is the last practical opportunity to correct the specification before manufacturing begins.
Key Takeaways
- Check the proof at finished size: print it at 100% and measure it with a ruler, because an enlarged screen preview hides crowded lettering.
- Panda Patches normally sends the digital mockup within 12–24 hours (as of October 2026), and production starts only after your written approval.
- A free pre-production sample is available on orders of 500+ pieces per design (as of October 2026); smaller orders are approved from the digital mockup.
- Approve one specific proof version in writing, with size, backing, quantity and in-hand date checked against the quote.
A patch proof is the last practical opportunity to correct the specification before manufacturing begins. Check it at the intended finished size, compare it with your quote, and confirm the material, wording, colours, backing and delivery requirement. A design that looks clear on a large screen can behave very differently on a small patch. At Panda Patches, production starts only after you approve the digital mockup in writing, so the proof is where the order specification is fixed.
At Panda Patches, a digital mockup is normally prepared within 12–24 hours. Production follows your approval. Taking a few minutes to review the right details is more useful than approving a picture simply because it looks attractive.
Start with the finished size
Check both width and height. “Three-inch patch” is incomplete if one person means the width and another means the longest dimension. For an irregular shape, confirm the measurement points and whether the quoted size includes the finished border.
Print a size outline at 100% scale and place it on the intended garment, bag or equipment. Disable “fit to page” and verify the printed dimensions with a ruler. A patch that fits on a flat sheet may sit across a cap seam or bend around a sleeve.
If you are ordering for several garment sizes, check the smallest and largest garments you intend to use. One patch size may be acceptable on both, but make that a deliberate choice.
Read every character
Check names, dates, website addresses, punctuation and abbreviations against the original text. Ask another person to read the wording without first telling them what it should say. This is especially helpful for similar characters such as I, l and 1.
Then inspect the text at actual patch size. Enlarging a preview does not make the finished lettering larger. If the wording is crowded, options include enlarging the patch, shortening the text, changing the typeface or choosing a different construction.
Our lettering and font guide explains why woven and embroidered patches have different detail limits.
Confirm the construction and colours
A digital mockup is a representation of the design. It is not a physical demonstration of thread texture, the height of a moulded feature or the way a material reflects light.
Check that the proof names the material you ordered. If a PVC design combines raised shapes and fine lettering, confirm which parts are sculpted and which remain on flat levels. For embroidery, ask which areas show base fabric and which are stitched.
For colour-critical work, supply your brand reference rather than relying on a screenshot. Confirm how the reference will be matched in the selected material. Screens, printed swatches and thread do not necessarily look identical under different lighting. Our colour chart is a useful starting point for discussing thread choices.
Check the edge and backing
The edge affects the finished appearance and the space left for the design. Confirm whether the patch has a wrapped border, a cut edge or another specified finish. Fine lettering should not sit so close to the edge that the border crowds it.
Backing is a separate decision. Sew-on, iron-on, hook-and-loop and temporary adhesive serve different purposes. Panda Patches supplies both hook-and-loop pieces: the hook on the patch and a loose loop piece for the garment, so check whether your garment already has a loop panel. For iron-on, check the garment's suitability and the instructions for the particular patch.
Use the backing comparison if you are still deciding.
Match the proof to the order
Before approval, compare these items with the written quotation:
| Check | What to confirm |
|---|---|
| Design version | The exact file or proof revision being approved |
| Quantity | Pieces per design, including any separate names or colourways |
| Dimensions | Finished width and height, with units |
| Construction | Material, border and special finishes |
| Backing | The attachment option actually required |
| Price | The agreed order total and any selected extras |
| Delivery | Destination and required in-hand date |
| Sampling | On orders of 500+ pieces per design a free pre-production sample is available; smaller orders approve from the digital mockup |
Panda Patches offers a free pre-production sample on orders of 500 or more pieces per design. If your order qualifies and you want one, agree when it will be reviewed and how that affects the schedule. Smaller orders are approved from the digital mockup; the 5-piece order is, in effect, the sample run.
Send one clear approval or revision request
Keep corrections together and refer to the proof version. For example: “On revision 2, change the bottom text to SUPPORT TEAM, retain the 75 mm width, and keep the sew-on backing.” Ask for the revised proof before approving a change that affects the design.
When everything is correct, approve the specific version in writing. If a deadline is important, have the team confirm the in-hand date for that approved specification. The event deadline checklist helps separate approval, production and transit.
A copy-paste approval message keeps every detail in one place: “Approved: proof revision [number]. Finished size [width] × [height] mm. Backing: [sew-on / iron-on / hook-and-loop / adhesive]. Quantity: [pieces] per design. Required in hand by [date] at [destination postcode]. Please confirm the in-hand date for this approved version.” Before sending it, run through this checklist:
| Before you approve | Checked |
|---|---|
| Finished width and height measured on a 100% print | ☐ |
| Every character read by a second person | ☐ |
| Material and finish match the quote | ☐ |
| Border leaves room around the lettering | ☐ |
| Backing suits the garment | ☐ |
| Quantity per design matches the order | ☐ |
| In-hand date and destination confirmed | ☐ |
| Proof revision number recorded | ☐ |
