Custom Patches for an Event: Approval, Production and Delivery Checklist
Your patch deadline should be the day the patches need to be ready for use, not simply the day the event starts.
Key Takeaways
- Plan from the date the patches must arrive for preparation, not the event date itself.
- Standard US delivery from Panda Patches is 11–15 business days after mockup approval (as of October 2026); the mockup normally takes 12–24 hours.
- Eligible rush orders can be in hand in as fast as 5 business days, confirmed per order, for 25% of the order total with a $50 minimum (as of October 2026).
- Count business days, skipping weekends and carrier holidays, and plan from the longer end of the window.
Your patch deadline should be the day the patches need to be ready for use, not simply the day the event starts. Leave time to check the shipment, attach patches to garments and distribute the finished items. Panda Patches counts standard US delivery as 11–15 business days from mockup approval, so the day you approve matters more than the day you order.
Work backwards from that ready-to-use date. Separate artwork preparation, approval, any sample review, production and transit. A production estimate is not automatically an in-hand delivery promise.
Write down three dates
Begin with the event date, the date finished items must be ready and the date loose patches must arrive. They may be the same for a small handout order, but a clothing launch or staffed event can need additional preparation.
| Date | What it means |
|---|---|
| Event date | When the event, activation or launch happens |
| Ready-to-use date | When garments, kits or handouts must be complete |
| Patch arrival date | When the shipment must reach the person doing the preparation |
Share the patch arrival date with the supplier and explain the event date as context. This helps avoid a delivery that is technically before the event but too late for your application work.
Know when the manufacturing clock starts
Panda Patches publishes standard US delivery of 11–15 business days after mockup approval. The digital mockup is normally prepared within 12–24 hours, but revision time and the time you take to approve it must also fit your plan.
Do not assume that submitting a form starts production. Confirm the required payment and approval steps for the order, and make sure one person has authority to approve the final proof.
If the quoted window already includes production and transit, do not add the transit time a second time. If a quote lists production only, ask for the destination-specific delivery estimate separately.
Use the longer end of the confirmed window
For planning, work from the longer end of the applicable delivery estimate and add your own preparation buffer. Use a business-day calendar, including relevant production and carrier holidays, rather than subtracting calendar days.
A free pre-production sample is available on orders of 500 or more pieces per design. If you want one, agree how sample production, delivery and approval affect the schedule; they do not fit inside the standard batch-delivery window by default.
For destinations outside the US, request the relevant transit and delivery information. Free duty-paid shipping describes the shipping and duties policy; it does not mean every country has the same delivery time.
A worked example: patches for Thanksgiving 2026
Thanksgiving falls on Thursday 26 November 2026. If the patches must be in hand by Friday 20 November, leaving Monday 23 to Wednesday 25 November to attach and distribute them, count back in business days:
| Step | Standard delivery | Rush (eligible orders) |
|---|---|---|
| Approve the mockup by | Friday 30 October | Friday 13 November |
| Window used | 11–15 business days; plan on 15 | As fast as 5 business days, confirmed per order |
| Patches in hand | Friday 20 November | Friday 20 November |
| Before Thanksgiving | Three working days to attach and distribute | Three working days to attach and distribute |
Rush dates depend on eligibility, which is confirmed for each order before any rush fee is charged. Send your artwork a day or two before the approval date so the mockup and any revision fit in.
Prepare a deadline-ready enquiry
Send the following information together:
- Artwork and the exact wording to reproduce.
- Patch type, finished size and quantity per design.
- Backing and any special finish.
- Shipping destination and postal code.
- The required in-hand date and the event date.
- Whether you want the free pre-production sample (orders of 500+ per design).
- The contact who can respond to proof questions promptly.
If the material is not decided, say so. The team can discuss alternatives, but a confirmed date must relate to a specific order rather than an undefined design.
When to request rush service
Request rush availability when the standard schedule does not leave enough room. Panda Patches advertises eligible rush orders in hand in as fast as five business days, but that is earliest availability rather than a promise for every quantity, material, finish or destination.
Ask for the confirmed in-hand date and fee before committing. Panda Patches charges 25% (minimum $50) for rush and refunds that fee if the confirmed in-hand date is missed. Large quantities, specialty constructions or a pre-production sample can change what is practical.
If the full order cannot meet the date, ask whether changing the specification or delivering part of the order earlier is possible. Treat any split delivery as a separately confirmed arrangement, not an assumed service included with every rush order.
Keep the approved version stable
A late change to size, text, colour or quantity can affect production. Complete the proof approval checklist before signing off, and keep the approved version with the quotation and delivery confirmation.
If a change becomes necessary, request a revised schedule as well as a revised proof. Avoid making a promise to your event team based on the earlier specification.
Send your deadline through the rush quote page. For the terminology behind the schedule, see production, transit and in-hand turnaround.
