How to Compare Custom Patch Manufacturers: Six Criteria

Six checks that separate custom patch manufacturers, from the minimum per design to who pays import duty, with what a September 2026 benchmark of 14 US suppliers found.
Compare custom patch manufacturers on six things: minimum per design, what the price includes, proof approval, in-hand date and rush terms, shipping and duty, and evidence. A price comparison only works once those six match.
In September 2026 we read the published terms of 14 US patch suppliers. The findings below come from that benchmark; supplier names are not published, and the per-supplier record is kept internally. Where we describe our own terms, they are Panda Patches' published terms as of November 2026.
1. The minimum per design
Ask whether the minimum applies to each design or to the whole order, and whether PVC carries a higher one. In the benchmark, six of the fourteen suppliers set PVC minimums of 50 to 100 pieces, and one charged a $55 fee to order below its minimum. Panda Patches' minimum is 5 pieces per design on every patch type and size.
2. What the quoted price includes
List every per-piece and one-time charge before you compare totals: setup, artwork, backing, extra thread colours, borders, molds for PVC and samples. Free setup and free artwork are normal: none of the fourteen published a setup charge, and nine said artwork is free. The differences sit in the add-ons. Some suppliers charge 10 to 25 cents a piece for iron-on backing and 10 to 15 cents a piece for colours above an included limit of seven or eight, and charging a new PVC mold back as a one-time fee per design is normal in the industry.
At Panda Patches, iron-on, sew-on and peel-and-stick backing are included, hook-and-loop is $0.35 a piece on custom-priced orders and included in fixed-price PVC packs, and there is no per-colour surcharge and no mold fee. The hidden fees guide lists the charges to look for.
3. How the proof is approved
Production should start only after you approve a proof in writing. Check how quickly the proof arrives, how many revisions are included, and whether a physical sample is available and at what price; the suppliers in the benchmark that publish a sample fee charge $75 to $90. Our digital mockup is included with every order and arrives in 12 to 24 hours, revisions are unlimited, and a free physical pre-production sample ships on orders of 500 or more pieces per design. Use the proof approval checklist before you sign off.
4. The in-hand date and the rush terms
Compare the date the patches arrive, not the production time. Ask whether the window starts at proof approval or at payment, whether shipping is inside it, and how rush is priced and confirmed. In the benchmark, published rush surcharges reach 50% of the unit price, and one supplier stated that it does not offer rush on patches.
Our standard delivery, from mockup approval to in hand with shipping included, is 10 to 12 business days for most patch types and 12 to 14 for PVC; to the UK it is 8 to 10, and 10 to 12 for PVC. Rush is 25% of the order subtotal with a $50 minimum. We confirm the in-hand date within 2–6 staffed hours (Monday–Saturday, 11 AM–7 PM EST), and if we accept a date and then miss it, the rush fee is refunded in full.
5. Shipping and import duty
Check which destinations ship free, whether a spend threshold applies, and who pays import duty and VAT. In the benchmark, free shipping was common but usually conditional (continental United States only, or above a spend threshold), none of the fourteen published a shipping rate, and none offered duty-paid delivery. Panda Patches ships free worldwide, delivered duty paid, at any order value.
6. The evidence behind the claims
Ask where the patches are made and whether the supplier owns the factory, read the guarantee terms, and look for dated reviews and documented orders. Our patches are made at our company-owned facility in Pakistan, not in the United States. If a delivered order is less than perfect or differs from the approved mockup, tell us within 10 calendar days of delivery and choose a remake or a full refund. Our Trustpilot rating was 4.8 out of 5 from 116 reviews when checked on 3 November 2026, and our case studies document real orders.
Put the six side by side
- Minimum per design, and the PVC minimum
- Every per-piece and one-time charge
- Proof turnaround, revisions and the sample price
- The in-hand window, what starts it, the rush formula and the remedy if a date is missed
- Shipping destinations, thresholds, and who pays duty and VAT
- Factory location, guarantee terms, dated reviews and documented orders
